Overview

DE is hiring an Insurance Administrative Assistant to provide general administrative and program support at the client company site

The Administrative Assistant provides essential support to the insurance team by managing office functions, handling client communications, and maintaining organized documentation. This role ensures smooth daily operations within the insurance office and supports agents, adjusters, or underwriters in delivering high-quality service to policyholders and business partners.

 

Responsibilities

 

  • Answer phones, greet clients, and respond to emails in a professional and timely manner.

  • Prepare and process insurance forms, applications, endorsements, and certificates.

  • Maintain client files and ensure records are accurate, complete, and up to date (paper and electronic).

  • Schedule appointments, meetings, and follow-ups for insurance agents or adjusters.

  • Support claims processing by gathering documentation, logging information, and tracking case status.

  • Communicate with insurance carriers, vendors, and clients to obtain or verify policy information.

  • Assist with invoicing, billing, and premium payment tracking.

  • Generate reports and correspondence using Microsoft Office or insurance management software.

  • Ensure office supplies and materials are stocked and available.

  • Comply with all company policies and applicable industry regulations (HIPAA, privacy, etc.).

Qualifications

Education and Experience:

  • High school diploma or GED required.

  • 1–3 years of administrative or clerical experience (insurance or financial services preferred).

  • Associate’s degree or insurance coursework (e.g., AINS) a plus.

Skills and Abilities:

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Familiarity with agency management software (e.g., Applied Epic, AMS360, or similar) preferred.

  • Strong organizational skills and attention to detail.

  • Excellent communication and customer service skills.

  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Discretion when handling confidential or sensitive information.


Work Environment and Physical Requirements:

  • Office environment with prolonged sitting and computer use.

  • May require occasional lifting of office supplies (up to 25 lbs).

  • Standard business hours, with some flexibility during peak periods or for deadlines.
